Who is responsible for your data

Let's Dance Prague, Prague, Czechia, is the controller of the personal data described here. For anything in this policy — including a request to see, correct or delete your data — write to llesoleill@letsjoin.now.

We are a small events organiser, not a company with a data protection officer. Your email goes to a person, and a person answers it.

What we collect, why, and on what basis

Enquiries sent through this website

When you use the enquiry form, we store the contact details you type, the message you write, the ticket type you were looking at, and the time of the enquiry. We use them to answer you and to arrange a place at the event.

Basis: Art. 6(1)(b) GDPR — steps taken at your request before entering into a contract. You do not have to send an enquiry, but without contact details we have no way to reply.

Alongside the enquiry we also store whether you ticked the marketing box, which language the form was in, and a version number for the wording you agreed to. That record exists so we can show what you consented to and when.

Basis: Art. 6(1)(c) GDPR — our accountability obligation under Art. 7(1).

News about upcoming events

Only if you tick the optional box on the form. You can withdraw at any time by replying to any message or emailing us; withdrawing does not affect anything sent before.

Basis: Art. 6(1)(a) GDPR — consent.

Event registration

Registrations are not taken on this website. They are arranged directly with us — by email or by message — and recorded in a spreadsheet used to run the event. That record holds your name, date of birth, phone number, email address, the ticket type, and whether your wristband has been handed over.

Your email address and date of birth are also what you use to open your ticket on this site, so they double as the way we recognise you.

Basis: Art. 6(1)(b) GDPR — performance of the contract between you and us. If you do not give us these details we cannot issue a ticket.

Analytics

Only if you accept analytics cookies. Google Analytics then sets an identifier in your browser and tells us how many people visit which pages. It does not tell us who you are, and we do not send it your name, email or the contents of any form.

Basis: Art. 6(1)(a) GDPR and § ePrivacy Directive Art. 5(3) — consent. Nothing is loaded and no request reaches Google before you accept. You can change your mind at any time through Cookie settings in the footer; see the Cookie Policy.

Protecting the forms from abuse

Google reCAPTCHA Enterprise runs on the enquiry and ticket-lookup forms. To tell a person from a script it receives your IP address and signals about how you interact with the page, and returns a score.

Basis: Art. 6(1)(f) GDPR — our legitimate interest in keeping automated abuse out of forms that a very small team reads by hand. We do not use it for advertising or to build a profile of you. If you would rather not be scored, email us instead of using the form.

Running the website

Our hosting provider processes the technical data any web server sees — IP address, browser, the page requested — and holds a short-lived copy of the registration spreadsheet in a cache so ticket lookups are fast. That cache expires within an hour.

Basis: Art. 6(1)(f) GDPR — our legitimate interest in a website that stays up and is not attacked.

If you contact us on Instagram

That conversation happens on Meta's platform and is covered by Meta's own privacy policy as well as this one. What we copy out of it into our own records is covered by the sections above.

Who else sees your data

  • Google — Google Sheets (the records described above), Google Analytics, and reCAPTCHA Enterprise.
  • Our hosting provider — as a technical necessity of running the site.

Nobody buys your data from us, because we do not sell it. We do not share it with other organisers, sponsors or advertisers.

Sending data outside the EU

Google is based in the United States, so some of the data above reaches the US. Those transfers currently rely on the European Commission's adequacy decision for the EU–US Data Privacy Framework, under which Google is certified.

That decision is under legal challenge and could change. If it does, we will move these transfers onto Standard Contractual Clauses or stop using the service, and this page will say which.

How long we keep things

24 months, both for enquiries and for registration records, counted from the enquiry or from the event.

Two years covers a repeat edition of the event and the period in which a dispute over a booking could realistically come up. After that the rows are deleted. Analytics data follows Google's own retention setting and is not tied to your name.

Your rights

You can ask us to:

  • give you a copy of the data we hold about you (Art. 15);
  • correct it if it is wrong (Art. 16);
  • delete it (Art. 17);
  • restrict what we do with it (Art. 18);
  • hand it to you or another controller in a portable form (Art. 20);
  • stop processing based on legitimate interest (Art. 21) — that covers reCAPTCHA and our server logs.

Where we rely on your consent — marketing, analytics cookies — you can withdraw it at any time (Art. 7(3)), and that is as easy as giving it was.

Write to llesoleill@letsjoin.now. We answer within one month. There is no charge unless a request is plainly excessive.

Complaints

If you think we are handling your data wrongly, tell us first — it is usually faster. You can also complain to the Czech supervisory authority:

Úřad pro ochranu osobních údajů, Pplk. Sochora 27, 170 00 Prague 7, Czechia — uoou.gov.cz

If you live in another EU country you can complain to your own national authority instead.

Automated decisions

We do not make decisions about you by automated means that produce legal effects or similarly significantly affect you, and we do not profile you.

The one automated step anywhere on this site is the reCAPTCHA score described above, which can block a form submission. It decides nothing about you as a person, and you can always reach us by email instead.

Changes to this policy

The date at the top changes whenever the text does. If we change something that affects what you agreed to, we will say so rather than quietly re-date the page.
